Importing staff and athletes from CSV
A CSV import turns a spreadsheet of email addresses into invites. Every row becomes one invite, emailed to that address. You review the rows before anything is sent.
Prepare the file
The file needs one column, email, with one address per row. The page you
import from sets the role: Staff sends coach invites, and Athletes sends
athlete invites.
Each page has its own template: staff template and athlete template. The import reads CSV, TSV, and XLSX files, up to 500 rows.
A role column is optional. If you keep it, every row must match the page
(coach on Staff, athlete on Athletes). A row with the other role shows
an error that names the right page.
Import the invites
- Open the register
In your web dashboard, open Organization > Staff for coaches, or Coaching > Athletes for athletes.
- Click Import CSV
The dialog opens. Drop the file on it, or click Choose file.
- Review the rows
The review page lists each Row, Email, Role, and Status. Status is Ready, Skipped, or Error. Fix the file, or skip the rows with errors.
- Click Import
The button shows how many invites it will send. The import creates the invites and emails them.
What you should see
A summary reports how many invites were created and how many were emailed. The table marks each row Invited or Not invited. The new invites appear as Pending in the invite ledger. See managing invites.
If it doesn't work
- Coach rows fail — only admins can invite coaches.
- Rows fail at the seat limit — each pending invite holds a seat. Free up seats or choose a larger plan, then import the rest.
- Athletes need a team — the file has no team column. Imported athletes join the organization on their own. Add them to a team from the team's roster with Add existing.
