Managing teams & staff

If you run a gym, club, or program with more than one coach, your organization is the umbrella everything sits under. Teams group your athletes. Staff are the coaches who work with them. Your org's plan covers all of it. Athletes and staff never pay individually.

Teams

Teams are how you group athletes: by squad, by intake, by location, or whatever fits how you coach. Create and manage them from Teams. Athletes you invite join the organization first. You put them on a team after they accept. You assign programs team-wide. Everyone on the team gets them, including athletes you add later.

Staff

Staff are coaches inside your organization. Invite them from Staff. Like an athlete invite, a staff invite goes to one email address and works exactly once. When a coach accepts:

  • They get access to the builder to write and manage training.
  • You assign them the teams and athletes they work with.
  • Your org's plan covers them. There's nothing for them to buy.

  1. Create your teams first

    Set up the team structure before the invite wave. Invites don't carry a team. With the teams ready, you can place each athlete the day they accept, instead of chasing the roster later.

  2. Invite your staff

    Send staff invites from Staff. After each coach accepts, assign them their teams.

  3. Invite your athletes

    Send athlete invites from Athletes or Invites. Watch them land in Invites. Put each athlete on a team after they accept.
